Rates

Willow Bend Wellness Collective LLC fees and rates for individual sessions, group therapy and workshops are determined by the therapist. Payment information is stated on each offering for a group or workshop. All payments are made to the therapist prior to the beginning of the group session or workshop. Questions about rates and payment should be directed to the therapist.

Insurance

Each therapist may offer insurance benefits for both individual and group therapy. To see if your insurance is accepted, please reach out to the therapist for more information. Workshops are not covered by insurance benefits.

Policy for Groups and Workshops

At Willow Bend Wellness Collective LLC, we are dedicated to creating a safe, supportive, and respectful environment for all participants in our mental health groups. By participating, you agree to abide by the following guidelines.

Changes To Policy
We may update this policy to reflect changes in our practices or to improve the group experience. Members will be notified of any significant updates.

  • Confidentiality: It is expected that what is shared within the group remains confidential. Members are expected to respect each other's privacy and not disclose personal information outside the group. 

    Respectful Communication: Engage in conversations with kindness and empathy. Disrespectful or harmful comments will not be tolerated, and facilitators reserve the right to remove a disrespectful member from the group at the facilitator’s discretion.

  • Active Participation: Members are encouraged to share their thoughts and feelings. However, it is equally important to listen actively to others.

    Voluntary Sharing: Participation is voluntary. Members can choose what to share and when to share it, without pressure.

  • No Judgment: All experiences and feelings are valid. Avoid making judgments about others’ experiences.

    Zero Tolerance for Discrimination: Discrimination based on race, gender, sexual orientation, religion, or any other characteristic is not acceptable. Facilitators reserve the right to remove a group member for engaging in discrimination. Members who are removed during an active group session will not receive a refund of monies paid for a group session, or for prior group sessions already paid for by the member.

  • Self-Care: Take responsibility for your well-being. If you feel overwhelmed, it’s okay to take a step back or seek additional support.

    Accountability: If you feel that someone has breached the guidelines, please bring it to the facilitator’s attention.

  • Follow Facilitator Direction: Respect the role of the facilitator in guiding discussions and maintaining a safe space. They may intervene if discussions become unproductive or harmful.

    Feedback: We welcome constructive feedback to improve the support group experience.

  • Crisis Support: If you or someone else is in immediate danger or experiencing a mental health crisis, please contact emergency services or a crisis hotline for help.

  • The offerings and services of Willow Bend Wellness Collective are determined by the individual facilitator. The facilitator will determine the session schedules and the fee set for each offering, including how payment for services will be made by the member. Questions about schedules and fees should be directed to the individual facilitator.

  • Commitment to Attendance: Regular attendance is encouraged to build trust and rapport among group members. If you cannot attend, please notify the facilitator when possible.

    Punctuality: Arrive on time to ensure a respectful start to the group session.

Willow Bend Wellness Collective LLC is committed to maintaining the privacy and security of your protected health information (PHI) in compliance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA). This policy outlines the measures we take to safeguard PHI and our compliance with HIPAA regulations.

This policy reflects our commitment to protecting your privacy and ensuring compliance with HIPAA. Updates to this policy will be posted on our website as necessary.

  • This policy applies to all PHI collected, stored, processed, or transmitted through Willow Bend Wellness Collective LLC’s website and associated digital systems, including but not limited to contact forms, client portals, email communications, and appointment scheduling tools.

    • PHI includes any identifiable health information shared by clients, such as name, address, contact details, health history, or treatment information.

    • PHI is collected only for purposes directly related to providing therapeutic services, including scheduling appointments, conducting assessments, and communicating with clients.

    • PHI will not be sold, shared, or used for unauthorized purposes.

  • To ensure the confidentiality, integrity, and availability of PHI:

    • Data Encryption: All data transmitted through our website is encrypted using SSL/TLS protocols.

    • Access Controls: Access to PHI is restricted to authorized personnel only, and strong authentication methods are implemented.

    • Secure Hosting: The website is hosted on HIPAA-compliant servers with regular security audits and monitoring.

    • Regular Updates: All software and systems are regularly updated to protect against vulnerabilities.

  • Clients have the right to:

    • Access their PHI and request copies of their records.

    • Request amendments to their PHI to correct inaccuracies.

    • Obtain a record of disclosures of their PHI, as permitted by law.

    • File a complaint if they believe their PHI has been mishandled.

  • Any third-party services or tools used by Willow Bend Wellness Collective LLC (e.g., appointment schedulers, telehealth platforms) are vetted to ensure they are HIPAA-compliant. Business Associate Agreements (BAAs) are maintained with these vendors.

  • In the event of a breach involving PHI:

    • Affected clients will be notified within 60 days, as required by law.

    • Steps will be taken to mitigate harm and prevent future breaches.

    • All staff and contractors are trained on HIPAA regulations and the importance of safeguarding PHI.

    • Compliance is regularly reviewed, and policies are updated as needed.
